Job Title: Administrative Assistant

Performs a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.


Your Duties & Responsibilities:  

  • Answer, screen inbound phone calls – pass information to appropriate person

  • Receive and direct visitors and clients – ensure safety protocol is followed

  • General clerical duties including photocopying, fax and mailing

  • Maintain electronic and hard copy filing system

  • Handle requests for information and data

  • Prepare written responses to routine inquiries

  • Coordinate and order materials – office and construction

  • Schedule and coordinate meetings, appointments for managers or supervisors

  • Open, sort and distribute incoming correspondence – mail, invoices, etc.

  • Maintain office supply inventories

  • Coordinate maintenance of office equipment

  • Coordinate and maintain records for staff, telephones, parking and petty cash

  • Assist with recruitment

  • Arrange job postings

  • Log and distribute resumes

  • Schedule interviews

  • Coordinate pre-employment tests

  • Administer pre-employment background checks NA

  • Assemble new hire packets

  • Input employee data and maintain employee files

  • Organize new employee orientations

  • Coordinate training and development activities for employees Coordinate with Safety Manager

  • Assist with record keeping required by federal and state laws

  • Respond to employee inquiries about human resources issues

  • Liaise with payroll and benefits regarding new employees and changes of employee status

Required Knowledge, Skills and Abilities:

  • Computer skills and knowledge of relevant software

  • Knowledge of operation of standard office equipment.

  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping

  • Knowledge of principles and practices of basic office management
